Refund Policy

Versa Institute London (VIL)


This Refund Policy outlines the circumstances under which students enrolled with Versa Institute London (VIL) may be eligible for a refund of tuition or related fees. All students are advised to read this policy carefully in conjunction with their offer letter, enrolment agreement, and the relevant programme terms and conditions.


1. Non-Refundable Fees

Refunds will not be issued for any application made within 30 days prior to the published course start date.

In addition, any fees paid for the following are strictly non-refundable and non-transferable:


  • Application or registration fees
  • Visa processing fees
  • Courier or document handling charges
  • Payments made to external institutions or awarding bodies on behalf of the student
  • Flights or accommodation booked as part of a programme package


2. Administrative Charges

All approved tuition fee refunds are subject to an administrative charge, which will be clearly outlined in your invoice or payment confirmation. This fee covers processing, banking, and compliance costs.


3. Method of Refund

If a refund is approved under exceptional circumstances, it will be processed:


  • In the same currency and at the exchange rate applicable at the time of the original transaction
  • Through the same payment method used by the student (bank transfer or card)
  • To the same originating account or card used for payment


To comply with anti-money laundering regulations, we may require:


  • Evidence of the original payment
  • A copy of your bank statement showing the transaction
  • Identity verification documents


No refunds will be made to third-party accounts or unrelated bank/card holders.


4. Online Executive Education and Degree Programmes

Once payment is received and access to the VIL Online Study Portal is granted, no refunds will be available. This policy applies to:


  • Executive Education Courses (CPD)
  • Professional Certificates
  • Advanced Professional Certificates
  • Degree Programmes
  • Online SEMP Courses


This condition does not affect your statutory rights.


5. Classroom-Based Programmes (SEMP)

For in-person or classroom-based Special Executive Master Programmes (SEMP):


a) Registration Fee

The registration fee is non-refundable once paid.


b) Tuition Fee

Full tuition payment must be made before the course start date to secure your place. Refunds will only be issued:


  • If VIL cancels the course or fails to deliver as promised
  • If a written cancellation request is received at least 4 weeks prior to the course commencement date, and the student has not yet accessed any part of the course


No refunds will be made in cases of:


  • Missed sessions due to travel delays, visa issues, or personal circumstances
  • Visa refusals that VIL reasonably determines could have been avoided


6. Programme Rescheduling

If a student is unable to attend a scheduled programme:


  • They may reschedule up to three (3) times within the training calendar, subject to availability and payment of any applicable administrative or rebooking fees
  • A fourth (4th) reschedule will require the student to pay any difference in tuition fees plus an additional administrative fee


7. Visa-Related Matters

VIL may assist with UAE short-term visa applications only where applicable and where the service is offered.

Students are solely responsible for ensuring:


  • They hold the correct visas for entry and transit
  • They meet all immigration requirements of the destination country


VIL accepts no responsibility for visa denials and no refunds will be issued in such cases unless the failure to secure a visa is directly attributable to VIL’s negligence.


8. Top-up Degree Programmes

  • Top-up fees are subject to change by partner universities without notice
  • Once payment has been made and the student is placed with a university partner, no refund is possible
  • VIL is responsible only for delivery of Level 4, 5, and 7 diploma programmes
  • All payments made on behalf of students to universities include a non-refundable administrative charge


9. Corporate/Business Accounts

Funds credited to a Corporate/Business Account Wallet on the VIL Study Portal are non-refundable once cleared into VIL’s bank account.

While funds cannot be withdrawn or refunded, they:


  • Do not expire, and
  • May be used at any time to activate available courses or programmes


Corporate administrators are responsible for selecting the correct course before applying wallet funds. Once allocated, course-specific funds cannot be reversed.


10. Statutory Rights

This policy does not override your rights under UK consumer protection laws. If your circumstances fall outside the terms of this policy, we may consider refund requests at our discretion in line with applicable legislation.
